The Property Assistant is expected to demonstrate a positive, can-do attitude and will promote Baltic Creative as a forward thinking, ethical provider of Property Services to its Creative & Digital community.
This role will be diverse supporting various aspects of the day to day property management across the estate. It will involve working closely with the Operations Manager, Facilities Officer and Operations Officer who are responsible for lettings, leases, contracts and negotiations and also the procurement and management of all aspects of health and safety, planned preventative maintenance, general maintenance (including cleaning), reactive repairs, site security, and weekly/monthly/annual compliance and inspections.
The individual will be expected to assist colleagues in delivering tasks and provide support to tenants which will include: logging and reporting repairs, obtaining quotes, health and safety inspections, fire alarm and emergency lighting testing, reading meters, assisting with decorating works and minor repairs and maintenance jobs, and liaising with our various contractors and service providers.
The role may also involve support to the head office and Administration Officer with tasks such as: filing, replenishment of consumable supplies to communal kitchens and bathrooms, dealing with mail and deliveries, parking issues, preparing meeting room facilities and updating signage.

The Property Assistant will work under instruction but will be required to use their own initiative to manage their own workload on a day to day basis.
This is a supporting role with responsibility for the following:
Support the team in the maintenance of comprehensive knowledge of all relevant legislation impacting commercial property management, regulation, policy and good practice and ensure compliance.
Support the team in the day-to-day delivery of reactive repairs and investment services as per our obligations within Lease / Contract Agreements.
Support the development and maintenance of effective systems of performance reporting for property investment and reactive repairs services, gas safety and electrical servicing, fire risk assessments, asbestos management and legionella surveys.
Support the team in the procurement and management of works across the estate.
Support the team in the coordination and implementation of service improvement plans.
Your Day-to-day duties include may include:
Supporting the team in logging repairs and responding to any urgent issues, ensuring contractors deliver works to the time, quality and cost we would expect and have budgeted for.
Support property inspections (whenever required) and help the team prepare specifications and tender documentation and negotiate works / costs with Contractors for approval with the MD.
Support daily site visits to ensure buildings are meeting their Legal Requirements in relation to Fire Safety & Health Safety and support tenants wherever possible to help them meet their legal responsibilities.
Support weekly fire systems checks and log accordingly, carry out twice yearly fire evacuation drills
Support the team in the development of Annual Service Charge Schedules and associated works and contracts with suppliers to deliver the full raft of SC Services.
Support the team in the daily management of Cleaning Contractors & Security Contractors
Support the team in the retention of Hard Copy & Digital Filing Systems to ensure data is stored safely and workload is managed.

It's important to be able to listen, learn and work as part of the team to ensure our work is delivered safely, efficiently and to the standard required. Supporting your colleagues is key to great team work.
Lone Working - Working on your own is a key skill too – you should be able to take instruction and work on your own initiative to complete tasks timely and to the required standard.
Communication – You will need great verbal and written communication skills. Being able to listen and communicate is vital in this role. Communicating well in person, on the phone and via email is essential. A really important skill is the ability to listen and digest instruction. Also, the ability to ask questions is really important.
Time Managment - Someone who is punctual and timely is really important. Your colleagues will depend on your punctual and timely attendance in your role.
Health & Safety – Being conscious of your own Health & Safety and that of your fellow workers and clients is vital in this role. You have to appreciate and understand how important Health & Safety is and be open to learning, listening and taking instructions which keep you and your colleagues safe.
Practical - Some practical work experience might be useful working in an active role - kitchen porter, office work, trade (painting, joinery, etc), repairs and maintenance / working with your hands, etc. This experience would be useful but is not essential.
Computer Literate - Being computer literate is another key skill in this role. A familiarity with using Apple Mac products and software would also be advantageous.
Education - Educated to A level standard again would be advantageous but is not essential. Your commitment and enthusiasm for the role is the key factor here.
